Troop 52 Campout Preparation Guide

Outdoors and Activities Chairperson
*    Maintains a folder after each campout of site, activities, issues, fees, etc.
*    Executes this Preparation Check List

Campsite
*    Review folder for campsite from prior campouts
*    Reserve campsite
*    Determine camping fees & check-in procedures
*    Determine directions & approximate travel time
*    Determine location of nearest hospital & phone number
*    Ask for campsite contact name & phone number during campout
*    Ask for map of park (Topology maps of area may be available - (www.topozone.com)
*    Ask for drinking water availability and location near campsite
*    Ask for any special activities or points of interest for scouts in or near the park
*    Ask about quality of cell phone reception
*    Time of sunrise & sunset (www.mindspring.com/~cavu/sunset.html)

Signup
*    Announce date, cost, location at troop meetings and via email
*    Announce meeting location and time of departure to activity and from activity
*    Announce projective forecast at prior troop meeting
*    Announce if any special equipment needed
*    Ensure there are at least two adult leaders
*    Ensures there are a sufficient number of drivers and seats for all
*    Prepare and keep track of signup sheet (Scouts and Leaders)
*    Prepare & Handout Permission Slips
*    Gather Permission Slips & money
*    Gather Medical forms
*    Identify who will be Campmaster, Program Director and Camp Patrol Leader
*    Identify who will pull the trailer (good to keep a list of who is able to pull it)
*    Identify who will be able to transport scouts to & from - collect insurance information
*    Secure tour permit (must be submitted two weeks before campout)

Activities & Food - Assistant Scoutmaster, Program Director, SPL and ASPLs (prior to campout)
*    Prepares campout schedule
*    Plan advancement activities for Scouts attending (especially for those working on Tenderfoot, 1st and 2nd class requirements)
*    Work with new scouts to prepare menu (Tenderfoot, 1st and 2nd class requirements)
*    Purchase food - Delegate to scout and/or parent?
*    Utilize special activities or points of interest in or near the park.
*    Ask the Scouts

Quartermaster (prior and after campout - Trailer and Equipment)
*    Inspect and Verify trailer is prepared and in working condition (Tire inflation, including spare, Hitch, Lights, Plates current, etc)
*    Replenish propane, firewood, briquettes, matches, tents, lantern mantels, first aid items, etc.
*    Determine what is in the trailer's food inventory - pancake mix, cereal, oatmeal, spices, aluminum foil, hot chocolate, coffee, etc.
*    Give Transportation Director keys for the trailer hitch and padlock
*    Ensures all equipment and keys are returned Troop 52 Campout Leadership Responsibilities

Campmaster
*    Oversees the safety of scouts and leaders
*    Identify Camp Patrol Leader, Quartermaster, Transportation Director, Health & Safety Director, and Program Director
*    Will have final say in all matters while on a camping trip
*    Announce Campmaster cell phone number for parents before departure
*    Gather all cell phone numbers of drivers
*    Pay fees for campsite
*    Oversees campsite setup (tents and dinning equipment)
*    Turn in scout campout fees to Treasurer after campout

Camp Patrol Leader (Senior Scout)
*    Determines duty roster (cooking, cleanup, etc.) for campout
*    Will provide guidance to scouts
*    Assists scouts with cooking and cleanup
*    Oversees fire builders
*    Oversees Campout schedule

Program Director (Cooking, Advancements & Activities)
*    Oversees food preparation and disposal
*    Records achievements and campout in Scout's Handbooks
*    Assists Camp Patrol Leader with Campout schedule
*    Secures troop camera
*    Provides camera to historian after campout for achieve and post photos on website

Health & Safety Director
*    Keeps Permission Slips
*    Keeps Medical forms
*    Location of nearest line phone
*    Determine if cell phones work
*    Location of nearest 24-hour emergency room
*    Knows if any scouts are taking medicine during camp
*    Inspects First Aid kit is supplied and reports items used
*    Notes all injuries on Permission Slips and reports information back to parents

Quartermaster & Transportation Director (during campout)
*    Ensures each scout is assigned a driver to/from campsite
*    Knows who will be arriving late and leaving early
*    Ensures all equipment is returned and organized in the trailer
*    Maintains list of who took home a tent to clean out (if needed)
*    Reports any problems with trailer
*    Ensures trailer keys are returned to Quartermaster
